AI in Sales with Bitrix24. How CoPilot helps sales teams work with customers faster

Sales work does not end with a call, an email or a customer message. After every contact, agreements need to be documented, deals updated, CRM fields maintained, follow-ups prepared, tasks created and important details from the conversation saved.

When many requests arrive in parallel, CRM data quickly becomes inconsistent. One deal contains a detailed customer history, another only a short comment, and part of the information remains in the salesperson's memory. This makes it harder to manage the pipeline, hand customers over to colleagues and understand what is really happening in the sales process.

CoPilot in Bitrix24 helps reduce this routine work. The AI assistant does not replace sales employees and does not make commercial decisions. It helps evaluate customer communication faster, identify important information, prepare CRM data, draft follow-ups and derive tasks from customer contact.

This article is part of our series about the practical use of AI in Bitrix24. We have already explained what Bitrix24 CoPilot is and where it can be used, how CoPilot helps with texts, emails and messages and how AI can be used for tasks and meetings in Bitrix24. This article focuses on sales.

Why CoPilot is useful in sales

In sales, response speed, communication quality and clean CRM data matter. Sales employees need to understand customer needs quickly, record the next step and document information so that managers, colleagues and project teams can work with it.

Common weak points often repeat themselves:

  • important deal fields are not filled in after a call;
  • agreements remain only in comments or personal notes;
  • follow-ups are sent later than necessary;
  • a customer contacts the company again, but the communication history is not immediately clear;
  • similar deals are handled differently;
  • managers cannot see what was actually discussed with the customer;
  • tasks after calls and meetings are not created consistently.

CoPilot can help with part of this work. It can evaluate calls or chats, create short summaries, extract CRM-relevant data, support follow-ups and turn agreements into concrete tasks.

The main value of AI in sales is not full automation of the salesperson's work. The practical value lies in reducing manual steps around the sales process.

Evaluate customer calls faster

CoPilot helps process calls in the CRM faster. Depending on the Bitrix24 configuration, the AI assistant can prepare a transcript, a short call summary and data for the lead or deal card.

After a customer call, CoPilot can be used for several tasks.

Create a short call summary

Create a short summary of the call. Highlight the customer's main need, discussed services, relevant details, agreements, open questions and the next step.

Extract data for the CRM

Extract from the call the information that should be entered into the CRM: customer need, number of employees, relevant Bitrix24 modules, timeframe, integrations, responsible person on the customer's side and next step.

Capture customer questions and objections

Analyze the call and list the customer's questions, doubts, objections and topics that need to be clarified before preparing an offer.

Create a task after the call

Based on this call, create a task for the responsible manager. Add the goal, context, expected result, deadline and a checklist for the next steps.

This helps the salesperson turn the call into concrete actions faster: update the CRM, create tasks, prepare a follow-up and save important conversation details in the system.

Evaluate chats and CRM correspondence

Not every sale starts with a phone call. Customers write in chat, reply to emails, send requests through forms or have longer correspondence with sales.

Such conversations often contain important information: budget, timeframe, selection criteria, contact details, restrictions or internal coordination on the customer's side. In longer message histories, these details are easy to miss.

CoPilot helps evaluate customer dialogues faster, summarize key points and prepare relevant data for the CRM.

Analyze customer correspondence

Analyze the correspondence with the customer. Highlight need, timeframe, budget, restrictions, open questions and the next step. Also indicate which information should be transferred to the CRM.

Create a communication history

Create a short communication history for the customer. Show what has already been discussed, which decisions were made, which questions remain open and what stage the deal is currently in.

Prepare a summary for sales management

Shorten the correspondence into a brief summary for sales management. Keep only the core request, important agreements, risks, the next step and topics that require attention.

In this way, the CRM becomes more than a contact database. It becomes a clear working history of the customer relationship.

Fill CRM fields after communication

A CRM is only useful when data is maintained clearly and consistently. If all information ends up in one general comment field, managers find it harder to analyze the pipeline, forecast revenue and understand reasons for lost deals.

CoPilot can reduce manual input after calls and chats. The AI assistant evaluates communication and suggests data for updating the CRM card.

This can be useful for fields such as:

  • customer need;
  • product or service;
  • number of employees;
  • budget;
  • timeframe;
  • integrations;
  • request source;
  • next step;
  • open questions;
  • deal comment.

Extract CRM data

Extract from this conversation the data for the CRM: customer need, timeframe, budget, next step, agreements and open questions.

Prepare data for the deal card

Prepare data for the deal card. Use only information from the conversation. If no information is available for a field, mark this separately. Fields: customer need, number of employees, relevant modules, timeframe, budget, integrations, next step.

Before saving, the salesperson must review the result. CoPilot speeds up CRM maintenance, but responsibility for correct data remains with the person.

Qualify customers with CoPilot

Qualification is not only about whether a customer is interested in Bitrix24. It is also important to understand how complex the project is likely to be. Some customers only need basic CRM setup. Others need automation, integrations, telephony, reports, data migration or custom development.

CoPilot can help structure initial information from a call, correspondence or form.

Assess the project type

Analyze the customer information and estimate which project type is most likely: basic Bitrix24 setup, comprehensive implementation, optimization of an existing CRM, integrations or custom development. Explain which signs point to this.

Prepare open questions

Based on the customer data, create a list of questions that should be clarified before preparing a Bitrix24 offer. Group the questions by CRM, sales, tasks, communication, integrations, reports and employee training.

Create an internal summary

Create a short internal summary about the customer. Include the main task, current situation, problems, priority Bitrix24 modules, possible project complexity, open questions and recommended next step.

This helps the salesperson understand faster which information is already available, what is missing and which next step makes sense.

Create tasks after customer contact

After a call or correspondence, a task often needs to be created: prepare an offer, clarify details, pass information to colleagues, plan the next contact or check technical feasibility.

Such tasks are often too short in practice. Examples such as "prepare offer" or "contact customer" are usually not enough. The assignee then has to ask what exactly needs to be done, what result is expected and which information is already available.

CoPilot helps turn a communication summary into a clear task.

Based on the call summary, create a task for the responsible manager. Add the goal, context, expected result, deadline and checklist.

Turn the agreements with the customer into a task list. For each task, specify the expected result and the next step.

Create a task for preparing an offer. Use the deal data and highlight which questions need to be clarified before calculation.

The task becomes clearer without additional verbal explanations, while the work remains connected to the correct deal or customer.

How WAM IT prepares Bitrix24 for sales and CoPilot

For CoPilot to really help in sales, it is not enough to simply activate AI functions. What matters is how the team works with leads, deals, calls, emails, tasks and follow-ups.

WAM IT helps companies adapt Bitrix24 to real sales processes. The team analyzes the existing CRM structure, identifies weak points and configures pipelines, fields, automation, integrations, telephony, tasks and access rights so that sales can work in a structured way.

In the context of AI in sales, WAM IT can help:

  • check whether the CRM is ready for CoPilot;
  • structure leads, deals and required fields sensibly;
  • map sales stages clearly;
  • connect calls, emails, tasks and CRM communication;
  • prepare follow-up templates and rules for customer communication;
  • configure tasks after calls and meetings;
  • train the team to use Bitrix24 and CoPilot in daily work.

If a company already uses Bitrix24, an analysis of the current configuration is often the best first step. Bitrix24 by WAM IT can support this.
