Bitrix24 offers numerous settings to set up your CRM system individually and precisely. In this article, we go through the most important CRM settings step by step so that you can make the most of Bitrix24.
Why specific CRM settings are important
In addition to the general settings you already find in the left-hand menu, Bitrix24 offers module-specific settings that are especially crucial for the CRM module. Every customer, every company works differently and has individual requirements. Thanks to detailed CRM settings, you can tailor Bitrix24 perfectly to your needs so that it becomes exactly the tool you need every day.
Who is allowed to edit CRM settings?
The good news first: you do not necessarily have to be a system administrator to customize the CRM module. In Bitrix24 there is a special role, namely the CRM administrator. This user can manage the CRM settings independently of super-admin rights. You can assign this permission very easily: open the settings, go to the "Access permissions" area and scroll down in the permissions matrix. There you will find the option "User can edit settings".
The 10 most important settings areas in the CRM
- Selection lists In this area you can customize system fields, e.g. the "Source" field. Here you can add new parameters, change the order or individually adjust existing options. Is "Google Ads" missing as a source, for example? Simply add it, save – done.
- Product properties If you use Bitrix24 to create quotes or invoices, this area is essential. Here you define important product properties, such as descriptions for services. Important: first define the properties, then create products or services in the product catalog – not the other way around.
- Company information If you have several companies within a corporate group or bill on a client-specific basis, you can store the various entities here. This makes it easier to select the right company for quotes, invoices and reports.
- Settings for forms and sections Your field cockpit: are you missing a particular field, for example your customers' birthday? Simply create this field in the "Contact" area, save it and use it directly in your CRM.
- Access permissions Access permissions are managed via a clear matrix in which actions such as read, edit or delete are linked to CRM elements such as leads, deals or contacts. First create roles, define clear access rules and then assign these roles to individual users or entire departments. It seems complicated, but with a little practice it is simple and intuitive.
- Email settings Here you can connect your email accounts to Bitrix24 and create individual templates. These templates can be customized specifically for leads, contacts, companies or deals, which saves you a lot of time and ensures consistent communication.
- Template for automatic numbering For everyone who creates quotes or invoices directly in Bitrix24, this setting is indispensable. Here you define how number blocks and the entire numbering should be structured. This way, your documentation runs automatically and in an organized manner.
- Other (hidden settings) The "Other" area contains hidden but useful options for individually customizing your CRM. For example, you can specify whether deleted elements are removed irreversibly or first moved to the recycle bin.
