Problem
By default, Bitrix24 offers no consistent automatic connection between CRM elements and a unified folder structure in Drive.
When a new customer, deal or another CRM element is created, employees often have to create the matching folder manually, name it correctly and then link it in the CRM. This process takes time and is easily forgotten in day-to-day work.
Typical difficulties:
- Matching folders are not created automatically for new CRM elements.
- Employees create folders manually, using different names and structures.
- Links to document storage have to be inserted separately in CRM fields or comments.
- Contracts, invoices, quotes, photos and other files end up in different folders or areas.
- Documents cannot always be clearly assigned to a customer, deal or project.
- Employees have to switch between CRM and Drive and search for the right storage location.
- With several departments, different folder structures, duplicate files or missing access rights arise.
- New team members find it hard to understand where relevant documents are stored.
Especially with a large number of customers, deals or projects, manual storage leads to lost time, errors and an increasingly cluttered document structure.
Solution
WAM IT sets up an automatic connection between CRM elements and Drive folders using Bitrix24 business processes.
As soon as a new CRM element is created or a defined status is reached, a business process starts automatically. It creates a matching folder in the desired Drive area and saves the direct link in the CRM.
The folder structure, naming and access logic are adapted to your company's workflows.
How it works:
- When a customer, deal, lead, project or another CRM element is created, a business process is started automatically.
- The process creates a new folder in the defined area of the Bitrix24 Drive.
- The folder name is generated according to a defined logic, for example from the CRM ID, customer name, deal title, project number or creation date.
- The link to the newly created folder is saved automatically in a CRM field.
- Employees can open the document storage directly from the respective CRM record.
- The connection remains clearly assigned to the customer, deal or project.
- Folder creation can be tied to specific conditions, phases or status values.
- Existing CRM fields and business processes can be included in the automation.
Optionally, the solution can be extended:
- Automatic creation of subfolders, for example for contracts, quotes, invoices, photos, correspondence or technical documents.
- Individual folder structures for different CRM elements or business areas.
- Automatic assignment of access rights by department, role, responsible person or project team.
- An entry in the timeline as soon as the folder is created or updated.
- Adjustment of the folder name when changes are made in the CRM.
- A check whether a folder already exists in order to avoid duplicates.
- Creation of the folder only from a certain deal phase or after an approval.
- Automatic storage of prepared document templates.
- Connection with tasks, smart processes or other internal workflows.
The solution is implemented using the existing Bitrix24 business processes. Additional external modules are not required for the standard version.
